The JIABEI warehouse management system solution introduces barcode technology into warehouse management to automatically collect data from every step of warehouse operations, including incoming inspection, inbound, outbound, transfers, stock relocation, and stocktaking. This guarantees the efficiency and accuracy of data entry at every step of warehouse management, ensures the company can grasp the true inventory situation in a timely and accurate way, and keeps inventory reasonably maintained and controlled. Scientific coding also makes it easy to manage item batches and shelf life.
Industry trend analysis
Today's rapid economic development and fierce domestic and international market competition demand that every part of a company's operations be more agile. Economic transformation makes improving workflows, raising operational efficiency, reducing operating costs, and increasing enterprise returns an urgent priority. Many companies have already implemented an inventory management system (often a module of ERP), but such systems mainly serve financial books and document-based processes. Business and execution are disconnected, and financial records do not match physical goods, leading to inaccurate inventory, delayed data, shipments sent in error, a buildup of dead and obsolete stock, low storage-space utilization, low operational efficiency, and cumbersome stocktaking. This affects the efficiency and decisions of management, procurement, and production, and ultimately the company's agility, competitiveness, and returns. Managing a warehouse by hand is even further behind the times.
The barcode warehouse management solution introduces barcode and wireless communication technology into warehouse management to automatically collect data from every step of warehouse operations, including incoming inspection, inbound, outbound, transfers, stock relocation, and stocktaking. It guarantees the efficiency and accuracy of data entry at every step of warehouse management, and it can integrate with the ERP system so that the company and its ERP obtain the true inventory situation in a timely and accurate way and keep inventory reasonably maintained and controlled. Scientific coding also makes it easy to manage item batches and shelf life. A WMS built on barcode technology is the means to modern warehouse management: the means to optimize warehouse operations, make full use of warehouse space, reduce operating costs, increase enterprise agility, and boost enterprise returns.
Warehouse management system functions
Tracking:
The warehouse management system uses barcode technology to collect on-site operational data. Its powerful, convenient data entry makes tracking product parts effortless, whereas the traditional manual entry approach has to pass through layer after layer of human procedures before reaching the manager.
The drawbacks of traditional manual data entry:
Slow operations with no timeliness, which sharply reduces the value of the information.
A high error rate; erroneous information can even lead to wrong judgments and decisions, with broader consequences.
Low usability; manually entered source production information is limited and cannot support deeper analysis.
The barcode system's data collection approach offers the following advantages:
Real time
Data enters the system electronically through barcode technology the moment the on-site operation is performed.
Accuracy
Barcode technology removes the human factor, cutting the error rate from above one in a hundred to below one in a hundred thousand.
High integrity and usability
On-site events are processed by computer, so related data can be merged and stored in the computer database.
Monitoring:
Once the status and history of operations are known in real time, monitoring becomes possible. The system continually compares the status it has tracked against the standards that have been set, and when an exception occurs it immediately notifies the relevant staff to handle it. For example:
Monitoring of material specifications. If, for example, a certain product requires raw materials of a special specification, a barcode scan during the operator's actual work easily tells the system how the work is going, and comparing this against the preset standard achieves real-time verification.
Monitoring of operational accuracy. The system collects operational data through real-time capture, and by downloading the pre-planned data it can monitor in real time whether operations match the plan, for example whether the outbound product model is correct and whether the quantity matches the plan. This greatly reduces operational errors caused by human oversight on the shop floor, lowering the cost of inventory operations and delivering an operational early-warning effect.
Control:
Once monitoring is in place, the system can monitor the operating process by setting various operational standards and logistics planning documents, automatically controlling how staff operate and prompting the relevant departments in real time to respond accordingly.
Management:
Automatic, real-time collection of on-site information not only supports on-site monitoring and control, its more important function is on-site management. The system immediately stores both the data collected in real time on site and the monitoring and control status in the database. This includes not only current status but also long-term historical records, and the database's powerful query, analysis, and reporting capabilities make possible management functions that traditional manual methods could never achieve, bringing on-site management to the level of Just-In Time (JIT).
Warehouse management system solution
Production plans and procurement plans
The production department draws up production plans based on sales orders, and the procurement department generates procurement plans based on the production plans and inventory status and issues them to suppliers.
Supplier labels
We recommend that suppliers affix barcode labels to the outer packaging of their products to identify category and batch.
This can be generated in several ways:
Suppliers buy a barcode printer and print and affix the labels themselves;
When the procurement plan is issued, the labels are printed and sent to the parts suppliers together with the purchase order (suppliers can be asked to buy a printer).
Raw material receipt
When the materials arrive, if the stipulated barcode labels are already present, the warehouse keeper scans the barcode and confirms the model and quantity to receive the goods. If there are no barcode labels, the delivery note is entered into the system (including packaging quantity), the system generates a batch number according to the record and the relevant rules, and the label is printed and affixed.
Raw material inbound and put-away
The receipt notice is obtained from the system, the packaging barcode and the corresponding storage location are scanned, and once the work is finished it is uploaded to the system to generate the inbound document.
Production material requisition
Before production begins, the planner determines the finished-goods batch number according to the production plan and enters the production material input order in the system by finished-goods batch number. The requisition staff download the input order to the data collector, and the issuing staff collect materials by package on site, using the data collector to scan the barcode on the material packaging and to scan or enter the issuing location. At the same time the collector gives operational prompts based on the input order, and once the work is done the collected data is imported into the system to generate the production material requisition document. The document is then reviewed in the system.
Data queries and reports
The system's data is analyzed to generate various related reports, such as inventory reports, product age reports, goods-in-transit reports, return reports, and stocktaking variance reports, with the relevant data compiled, queried, and analyzed. The system can search tracking information such as product outbound, receipt, and dispatch direction and location by keywords including product barcode, model, time, plan number, warehouse, and counterparty, and it provides statistics such as inbound and outbound quantity, quantity on hand, and requisition quantity, making it easier for finance and suppliers to settle payments.
Data collection program
Following the barcode coding rules, the data collector scans the barcode information and displays details such as product name, model, batch number, and warehouse location, making raw material receipt, requisition, and stocktaking easier.
Stocktaking
Before the work begins, the materials to be counted are selected (raw materials, finished goods, and so on), a stocktaking document is generated, and the staff download the stocktaking sheet to the data collector and scan the barcode on the material packaging and the storage location to capture the data. Once the work is done the collected data is imported into the system, which aggregates it and checks it against the system's existing inventory report to generate adjustment vouchers and adjustment reports.
